Minutes of the Board of Trustees
October
29, 2002
Those present: Delmas Saunders, Lillian Baldridge, Sam D. Hatcher, Patricia A. Johnson, Don R. Johnson, Jim Spencer, Sabra Jacobs, and Garnett Fairchild.
Friends of the Samuel May House met for their regular monthly meeting on Tuesday, October 29th, 2002. The Minutes of the September 24th, meeting had been mailed and emailed to members. Mr. Hatcher asks if there were any additions or deletions to be made to them. There being none, the Minutes stood approved as presented.
In the absence of David Hereford, Mr. Hatcher presented the Treasurer's Report. The General Fund balance is $4,172.04 as of October 7, 2002, with no major expenditures being made. Mr. Hatcher noted that this did not include some $240.00 received as the result of a tour group that had came through Prestonsburg on Sunday, Oct. 27th 2002. Also, he had sold some books that were not included on this report. There being no comments or questions regarding the report, it stood approved as presented.
Mr. Hatcher reported on the activities of Oct. 25th, 26th and 27th. He stated that the reception on Friday evening went very well and that we had approximately 50 people attend. A surgeon had been present who presented a program on the War Between the States surgical supplies that were used on the battlefields and at the hospitals during the War. Also, a program by James A. Garfield (the Union Commander at the Battle of Middle Creek) and Mrs. Lacretia Garfield (Both were Civil War Re-enactors) was presented. Commander Garfield read letters that that he had written to Lacretia during his time in the area and Mrs. Garfield read the letters she had sent to him.
On Saturday, the program had been very interesting with John Wells serving as Master of Ceremonies for the Dedication of the Middle Creek Battlefield. And, the dinner on the grounds had been excellent.
On Sunday, Mr. Hatcher had taken approximately 55 people thru the May House. They were participants on a "Mystery Tour". They then traveled to the Battlefield and spent an hour touring the site and watching the re-enactment.
He also reported that during the month of October the May House had been opened on Sunday afternoons and several people had come to take tours of the House. He said this was largely due to Delmas Saunders, who had been present every Sunday.
Mr. Hatcher then read a letter from Turner Publishing regarding our 1992 History book and our 2002 Pictorial History books that we had published. Turner Publishing still had twenty-five copies of the History book on had and wanted to know if we wanted to purchase these, as well as, possibly order another 100 of the Pictorial History at the price of $28.50 each.
After a brief discussion, Jim Spencer made a motion to order 10 of the books; seconded by Sabra Jacobs; motion carried. Mr. Hatcher stated that he would also present this letter to the Floyd County Historical Society and see if they wished to purchase any of the books.
Jim Spencer passed around pictures and a post card that Dr. Perry and he had purchased for the group to look of places in Floyd County in its' early years.
Delmas Sanders brought up the item of buying new dead-bolt locks to put on our six exterior doors to the house. Following an extensive discussion, he made a motion that no more than $300.00 be spent to buy the locks and have them installed. Lillian Baldridge seconded the motion. Motion carried.
There being no further business, motion was made to adjourn the meeting. Motion carried.
