Minutes of the Board of Trustees Those present: Sam D. Hatcher, Robert Perry, Don R. Johnson, Garnett Fairchild, Delmas Saunders, Jim Spencer, John Rosenburg, Patricia A. Johnson and N. Barngarhner, a guest. The Friends of the Samuel May House, Inc. met for their monthly meeting on Tuesday, May 29, 2001. Mr. Hatcher called the meeting to order at 7:00 PM. Don Johnson made a motion that the Minutes of the April 24, 2001, meeting be approved as presented; seconded by Robert Perry. Motion carried. Mr. Hatcher then gave the Treasurer's report as had been mailed to him by David Hereford. He stated that the balance as of May 22nd was $7,428.61. The biggest expenditure was $4,104. for wallpaper. The $4,104. ha been reimbursed to the account from the Horne Foundation; therefore, leaving the balance still $7,428.61. He stated that he had a bill to present to David for around $200.00 for books he has purchased on behalf of the Friends of the May House for resale. He purchased, as directed by the Trustees, ten copies of the book, Kentucky's Last Frontier by Henry P. Scalf. Don Johnson made a motion to accept the Treasurer's report as presented; seconded by Jim Spencer. Motion carrier. Mr. Hatcher also reported that the Archive Fund had a balance of $1,671.53. Mr. Hatcher reported that the lease for the parking lot had been signed by the Mayor, and with John Rosenburg's help, had been recorded. John asked about the conservation easement and stated that it needed to be recorded as well. Nothing was known as to the status of this easement. Mr. Hatcher stated that bids for work had been published in three parts - parking lot, concrete walkways and porch and the patio and souvenir shop. Bids are to be opened on Thursday, May 31st, at 6:00 PM at the May House. It was stated that approximately $66,000 was left in the ISTEA funds. The city is still owed $18,000 for the bathroom and kitchenette area from these funds. It is hoped there will be enough money left to complete the walkways, handicap ramp, porch and signage from these funds. The patio and outside restrooms would not qualify to be built from these funds. Of the ISTEA monies left, more wallpaper could be purchased. However, everything depends on the opening of the bids on Thursday, and, a wait and see policy was developed. Mr. Robert Perry reported on the Ivy Mountain monument. He stated that it was now in place and that there will be landscaping done around the Monument. Sod will be laid and some trees will be trimmed to enhance the view of the Monument. Also, signs will be erected a few miles from the Monument to let tourist know they are approaching it. Following a brief discussion on hiring someone for the summer to stay at the May House, Don Johnson made a motion that the meeting adjourn, seconded by Jim Spencer. Motion carried.
