Minutes of the Board of Trustees Those present: Delmas Saunders, Sam D. Hatcher, Patricia A. Johnson, Don R. Johnson, Robert Perry, Jim Spencer, Marshall Davidson and Lillian Baldridge. The Friends of the Samuel May House, Inc., met for their monthly meeting on Tuesday, July 24, 2001. Mr. Hatcher called the meeting to order at 7:00 PM. The Minutes of the June 26, 2001, meeting was presented to those present. They had also been emailed to those with email and mailed to those who did not have email. They are also posted on our web page as well. Following a question from Mr. Davidson, Don Johnson made a motion to accept the Minutes of the June 26th meeting as presented; seconded by Robert Perry. Motion carried. Mr. Hatcher then presented the Treasurer's report as had been mailed to him by David Hereford. He stated that the general fund balance as of July 20th, was $7,269.35, with the only significant expenditures being $209.00 to the Floyd County Times for bids and $240.00 to ABCO Security for our alarm system. Don Johnson made a motion to accept the Treasurer's report as presented; seconded by Robert Perry. Motion carried. Mr. Hatcher informed the group that Owen Wright had brought around twenty-five fifth and sixth grade students to tour the May House. He had conducted the tour for them; and, as a result, the Appalachian Christian Project had donated $20.00 to the May House. Mr. Hatcher informed the group that neither he nor Robert Perry had been able to get in touch with the Mayor in regard to the City Council approving the bid for our parking lot. He stated that he felt this needed to be done immediately since our bid would run out in a matter of days. Robert Perry stated he felt each member of the Board; and, especially those present should make a commitment to contact the Mayor or a Council member and tell them we need this bid approved so work can begin. He stated that we had been working on this for the past two years and it needed to be done now. Following a brief discussion, it was decided that Delmas Saunders, Robert Perry and Jim Spencer would meet at 8:30 on Wednesday, at the Mayor's office to see if they could meet with him and get his assurance that the bid would be approved, so work could begin on the parking lot. Lillian Baldridge asked if the wallpaper had been received. Mr. Hatcher stated that none had been. Also, a question was asked about a summer employee. Mr. Hatcher stated that there were no developments in that area as well. Robert Perry stated that every lead he had tried to find someone had come up with a dead end. Mr. Hatcher informed the group that the historical exhibit that the May House was getting for the month of August would be shipped on July 28 to him and he would then bring it to the May House and set it up. This would be an exhibit on "The Civil War in Kentucky." Following a brief discussion, it was decided that the 5th Kentucky Reenactment Unit would set up a small camp on the lawn of the May House for August 18th and 19th and have tours of the May House for the public. The schedule was as follows: Saturday, August 18, 2001, the house would be open from 9:00 AM until 4:00 PM for the public; and, on Sunday, August 19, 2001, the house would be open from 1:00 PM until 5:00 PM for the public. Don R. Johnson, Editor of The Lost Cause, the newsletter of the Kentucky Division of the Sons of Confederate Veterans, asked the group if they would be interested in taking out an ad in the newsletter to advertise the books that were for sale. Following a brief discussion, Jim Spencer made a motion that the group take out an ad in the newsletter and leave to Mr. Hatcher's discretion the size of the ad; seconded by Lillian Baldridge. Motion carried. Mr. Delmas Saunders had brought with him a "shoe last" to see if the Board of Trustees would like to have it for the May House. Robert Perry stated that in the future Floyd County would be the home of a museum and that we were acquiring items for that museum; therefore, he felt we should accept the item. However, he thought it should be stored upstairs and not displayed until the Museum was built. Lillian Baldridge stated she felt it would be good to display it, possibly as a bookend in one of our bookcases until such time as the museum was available. She stated that any tour groups coming through could be told what it was and how it was used. She made a motion to accept the "shoe last" for the May House; seconded by Jim Spencer. Motion carried.
