Minutes of the Board of Trustees
Prestonsburg, Kentucky 41653

November 20, 2005

Those present: Patricia A. Johnson, Don R. Johnson, Marshall Davidson, Garnett Fairchild, John Rosenberg, Sam Hatcher, Jim Spencer and Delmas Saunders.

Mr. Hatcher called the meeting to order. He stated that the Minutes of our October meeting had been emailed and snail mailed to all Board members. Also, there were copies present. He asked if there were any comments on the Minutes. There being none, the Minutes will stand approved as presented.

In the absence of David Hereford, Mr. Hatcher gave the Treasurer's report. He stated that our general fund balance was $1,838.11. During tours and at a genealogy workshop, Sam had sold a total of $478.53 in books. He stated that Dawn had been working from 2-5 on Saturdays and Sundays keeping the House opened for tours and the selling of books. In her report she stated that she had collected donations and sold books for a total of $229.75. Mr. Saunders stated that he felt, with no more advertising than we had done, that we had had quite a few to visit the House and to purchase books once a tour had been given.

Mr. Rosenberg stated that the Science Center was now open on weekends as well. He wondered if we might be able to coordinate visits by the public at the Science Center with visits to the May House by putting brochures in the lobby at the Science Center and letting the people know that the May House was open. Also, we could let visitors know that the Science Center is open should they be interested in going across the road and visiting it while they were in the area. It was decided that whoever was there would let those visiting know that the Science Center was open and Sam stated he would check into getting some individual sheets or some brochures placed in the lobby at the Science Center.

Discussion of Old Christmas was then held. Everyone was reminded that at the December meeting final planning would be made for holding Old Christmas on Sunday, January 8th from 2:00 to 6:00 in the evening. He asked that we be thinking of what we wanted to include during the evening.

He stated that for planning purposes, there were already two events scheduled for next year: Old Christmas on January 8th and then on May 5-6, 2005, the Sons of Confederate Veterans would be hosting their annual Reunion at the May House with a Social on Friday evening and other OCR events there. He also stated that Miss Michelle Clark was here today looking at the outside of the building and thinking about having her spring wedding outside the May House. She is to let Sam know as soon as she can as to the exact date. John also mentioned that Sarah May had expressed a desire to have her wedding at the May House sometime next year; however, an exact date had not been decided on as yet.

There being no further business, the meeting adjourned.
