Minutes of the Board of Trustees
Prestonsburg, Kentucky 41653

October 16, 2005

Those present: Marshall Davidson, Jim Spencer, Sam Hatcher, Don R. Johnson, Patricia A. Johnson, Dawn R. Stambaugh, Delmas Saunders, Mitchell Stambaugh, Stephanie May and a guest.

Mr. Hatcher called the meeting to order. He stated that the Minutes of our September meeting had been emailed and snail mailed to all Board members. Also, there were copies present. He asked if there were any comments on the Minutes. There being none, the Minutes will stand approved as presented.

In the absence of David Hereford, Mr. Hatcher gave the Treasurer's report. He stated that at a Genealogy Conference in Paintsville and during a tour of the May House yesterday that he had sold approximately $300.00 worth of books. The General Fund balance (without the book amount) totaled $1,428.92. He noted the Board had purchased more history books for sale at a total cost of $258.00 as the only major expense. He also stated that we had received a $100.00 donation from Byrd A. Lochtie in memory of her mother, Louise Steele Avery (whose mother was a May) who would have been 100 on October 15th. He asked for questions or comments on the report. There being none, it will stand as presented.

He noted he had received an email from Fred May in regard to a young lady holding her wedding in the yard of the May House; and, stated that he would answer it as soon as he got a chance to do so.

Mr. Hatcher thanked Jim Spencer and Delmas Saunders for advertising the Open House that we are doing each weekend for the next three months. He also clarified that weekends meant Saturday and Sunday, not just Saturday as some had assumed.

Mrs. Stambaugh had kept a record of the tours she had conducted, which Mr. Hatcher reported. On Oct. 8, she had conducted two tours and had received donations totaling $24.00. On Oct. 9, no one came. On Saturday, Oct. 15th, she conducted two tours receiving donations in the amount of $6.00; and sold one book for $5.30. Mr. Hatcher said he believed as time went on, more people would come for the tours.

Mr. Hatcher stated that we would try meeting on Sundays one more time in November and that if we could not get more participation, we would go back to our meeting on the fourth Tuesday of each month.

A discussion was then held in regard to Old Christmas. It was decided to hold Old Christmas on Sunday, January 8, 2006, from 2:00 until 6:00 in the evening. Either the Board members or our cleaning staff would decorate for Old Christmas.

Mr. Saunders stated that on Saturday, October 22nd at around 3:00 PM he was going to try to have some Senior Citizens from where he lives to come over and do a tour of the House.

Mr. Hatcher informed the group that on May 6-8, 2006, the May and Wells Camps of the Sons of Confederate Veterans and the Kentucky Society OCR would be hosting the Kentucky Reunion of the group in Floyd County. Some of the meetings would be held at the May House (OCR reception on Friday evening, etc.).

He also reminded the group that this coming year in September was again time for the May Family Reunion at Jenny Wiley Lodge. In future meetings, we would plan our activities for their reunion.

Jim Spencer mentioned the possibility of sponsoring a Civil War Roundtable some time next year. Everyone agreed this was an excellent idea and more work will be done to see this become a reality.

With no further business, Don Johnson made a motion to adjourn the meeting; seconded by Jim Spencer. Motion passed.
