Minutes of the Board of Trustees
Prestonsburg, Kentucky 41653

March 22, 2005

Those present: Don R. Johnson, Patricia A. Johnson, Sabra Jacobs, Jim Spencer, Garnett Fairchild, John Rosenberg, Marshall Davidson, Sam D. Hatcher, Lillian Baldridge, and Mable Lineberger.

Mr. Hatcher opened the meeting at approximately 8:00 PM and noted that a quorum of the Trustees were present. He stated that he would like to welcome back Dr. Lineberger to the Board of Trustees.

Mr. Hatcher informed the group that the Minutes of the last meeting had been emailed and mailed to all Board members. There were also copies on the table for anyone who wished to go over them at this time. There being no comments, the Minutes will stand approved as presented.

In the absence of David Hereford, Mr. Hatcher stated that the Treasurer's report for this meeting would be the same as had been given for the Annual Membership Meeting. He stated that dues letters had been sent to anyone who had shown any interest in the May House and that Fred May was sending the letter to all the May Family members who attended their Family Reunion held every two years at Jenny Wiley Lodge here in Prestonsburg.

A discussion followed regarding the plaques that have been talked about honoring Dr. Robert Perry and the May brothers. Due to the gentleman that Don had been going to get samples for us from being involved in getting plaques and trophies ready for all our high school tournaments in the area, he had not been able to get us any samples. Dr. Lineberger suggested that we should think about doing individual plaques for each May brother; instead of combining them as had been discussed earlier. Following a brief discussion, Don Johnson made a motion that we purchase an individual plaque for each person; seconded by Dr. Lineberger; Motion carried. Therefore, we will purchase a plaque for Dr. Robert Perry, William H. May and E. B. May, Jr.

Mr. Hatcher asked for the report from the Nominating Committee in regard to electing a new Vice-President and Treasurer for a two year term. The Committee nominated David Hereford for Treasurer. There being no nominations from the floor, Mr. Hatcher instructed the secretary to cast one vote for Mr. Hereford as our Treasurer.

For Vice-President, the Nominating Committee presented two names - Don R. Johnson and Garnett Fairchild. Marshall Davidson made a motion that nominations cease. By secret ballot, Garnett Fairchild was elected to serve another term as the Vice-President. Mrs. Fairchild was congratulated on her re-election.

Dr. Lineberger stated that she felt that a committee should be set up in order to try to find someone willing to do an internship at the May House, serving as a guide on a regular schedule so someone who wished to visit and tour the House would know when they could do so. Mr. Hatcher named Mable Lineberger, John Rosenberg and Sabra Jacobs to this Committee.

Mr. Rosenberg asked Sam Hatcher to write a letter to Fred James, the Director of Tourism, and ask if there are any funds available that the May House would qualify to apply for or to receive a portion of funds that may have already been received by The Tourism Commission.

Mr. Davidson reminded us that Delmas, on his way home from Florida, would be bringing some photos that would need to be hung in the May House that he had taken to Georgia to be framed.

After a brief discussion, it was decided to hold the annual Photo Fair on Saturday, May 14th, 2005, from 10:00 AM until 4:00 PM

There being no further business, the meeting was adjourned.
