Minutes of the Board of Trustees
Prestonsburg, Kentucky 41653
October 28, 2003
Those present: Sam D. Hatcher, Delmas Saunders, William L. May, Gary May, Sabra Jacobs, Don R. Johnson and Patricia A. Johnson.
Mr. Hatcher reported that the Minutes of the September 23, 2003, meeting has been emailed and mailed to everyone. There being no questions or comments, the Minutes will stand approved as presented.
In the absence of David Hereford, Mr. Hatcher reviewed the Treasurer's report. The general fund is $4,077.37. He stated since Oct. 6 (which was the last date on the report) he had deposited $200.00 received from tour groups and book sales. He also still had an additional $200. plus dollars to be deposited from same. There were no major expenses. There being no questions or comments, the Treasurer's Report will stand approved as presented.
Mr. Saunders stated that he would take with him tonight to sell a pictorial history book and one of the first books the May House published (1992) to sell to a friend of his who had became very interested in local history.
Mr. Hatcher stated that he had still not had the opportunity to get in contact with a carpenter to do some much needed work on the House. Following a brief discussion, he appointed W. L. May and Gary May to see if they could find someone to do the needed work. Sam stated he would write out a list for them of the items that needed taken care of at this time.
Mr. Hatcher also stated that we would wait another month to begin planning "Ole Christmas". He did appoint Alice H. Perry, Lillian Baldridge, Garnett Fairchild, Sabra Jacobs and Patricia Johnson to work on decorating the house for "Ole Christmas."
Delmas Saunders had bought with him a picture of the Bonanza school with children in the front dating somewhere between 1906 and 1908. An envelope attached to the picture named most of the children in the picture. He donated this to the May House and it was decided to hang it in the parlor above the piano. The Board expressed their deep appreciation for all the items Mr. Saunders has donated to the May House recently. They truly are deeply appreciated.
Don Johnson had brought a mock-up of a granite marker that a friend of his had done. Anything that anyone could have a picture made up of and could put it on a computer, a program was owned by Paul Burchell that could sand blast it into any size stone anyone wanted. Don has had a small stone with the War Between the States Battle Flag on it made up. It was of the size for a paperweight or bookend to show the group. He suggested something like this be used to make a much discussed about sign for the May House.
Mr. Hatcher stated that there were specific measurements for signs for historical places and that he would check to see exactly what they were and let Don know so Paul could give him a price for preparing one for us.
Mr. Hatcher stated that he would contact John Wells and see if he would have more of his book printed for the May House to sell since he and Don had received several inquiries as to how to get a copy of one. Or, if he would possibly give the May House Board permission to have copies of the book printed themselves.
Following a brief discussion on how to keep the May House open for tours by the local people, Delmas made a motion to adjourn; seconded by Don. Motion carried.
