Minutes of the Board of Trustees

September 25, 2001

Those present: Dawn R. Hitchcock (acting secretary), Garnett S. Fairchild, Delmas Saunders, Sam D. Hatcher, Don R. Johnson, Lillian Baldridge, Jim Spencer, Marshall Davidson, Sabra Jacobs and Robert Perry.

The Friends of the Samuel May House, Inc. met for their regular monthly meeting on Tuesday, September 25, 2001. Mr. Hatcher called the meeting to order at 7:05 PM.

Don R. Johnson made a motion to accept the Minutes of the August 28, 2001 meeting as presented. Seconded by Jim Spencer. Motion carried.

Don R. Johnson made a motion to accept the Treasurer's report as presented. Seconded by Jim Spencer. Motion carried.

Mr. Hatcher informed the group that a computer had been purchased and was located at the May House.

Those present then discussed the following items: (1) Talked about the parking lot, and the lights that will be installed later. (2) Talked about getting dirt to fill in around the parking lot. Jim Spencer was asked to see if the city would be able to provide it. (3) David Hereford bought some more books to sell at the May House. (4) The possibility of a gift shop being constructed when monies were available. (5) Wall paper and furniture were discussed; as well as, reproductions for the House.

The group was informed that the dedication ceremony for the Ivy Mountain monument would be held on Saturday, November 10, 2001, with a reception to follow at the May House to be hosted by the Friends of the May House, the Sons of Confederate Veterans and the Mattie Morgan and Mountain Laurel Chapters of the Kentucky Society Order of the Confederate Rose.

The use of the ISTEA monies were then discussed, with the following items being possibilities: (1) Change the lighting in the house. (2) Word done on fireplace. (3) outside trim needs to be painted. (4) Needs a better lock for the front and side doors.

Mr. Hatcher stated that he now knew how to arm the security system and would be ordering new batteries and changing them as soon as they arrived.

Lillian Baldridge made a motion to use the rest of the State money for the house. Seconded by Garnett Fairchild. Motion carried.

With no further business, Mr. Hatcher adjourned the meeting.
