Minutes of the Board
of Trustees January 9, 2005 Those present: Lillian Baldridge, Jim Spencer, Marshall Davidson, John Rosenberg, Garnett Fairchild, Sabra Jacobs, Sam D. Hatcher, Alice H. Perry, Don R. Johnson and Patricia A. Johnson. Mr. Hatcher called the meeting to order at 4:00 PM and noted that a quorum of Trustees were present. He noted that the Minutes had been emailed to those with email and mailed to other members as well as having extras present today. He asked for any comments, there being none, the Minutes will stand approved as presented. In the absence of David Hereford, Mr. Hatcher gave the Treasurer's Report. The May House fund has a balance of $858.08 and the Archive Fund balance is $705.84. In going over the expenditures, Mr. Hatcher stated that he had purchased some more of Scalf's book, Jack May's War, and the Hatfield books for sale. He asked if anyone had any comments or questions on the report. There being none, the Treasurer's Report will stand approved as presented. Mr. Hatcher then reminded those present (some of whom had not been with us for a while) of some of the items that had been decided on and discussed at the meeting in November. The Board had decided to purchase a plaque in honor of Dr. Robert Perry to be placed in the front parlor naming the room after him. Also, a plaque was to be purchased honoring Bill and EB May who had given us the House and property; and, was to be hung somewhere prominent in the House. Mr. Rosenberg suggested that since the deed included the names of their wives we might want to include their names as well. Mr. Hatcher and the Trustees agreed this was an excellent idea and the wives names would be included on the plaques. It was noted that membership dues were now due since our year ran along with the calendar year. Dues are $10.00. Mr. Hatcher informed the group that as soon as he had a chance, he would be writing a letter to try to get the bridge by the college named the Col. A. J. May Bridge. This would be quite appropriate with the House being close as well as The Battle of Middle Creek park being in close proximity of this new bridge. Other items discussed were: (1) purchasing new runners for the House (need to be at least 2 1/2' X 7', and be wool for easy cleaning; (2) next year a few months before Old Christmas, have flyers printed, a sign made to put in front of the House, and more advertising to attract more visitors; (3) flag flying on pole at all times but it was stated that proper lighting and care of the flags prevented this from occurring. Today, was Old Christmas and Mr. Hatcher thanked everyone who took part in preparing the House and preparing the food for all who attended. We had approximately fifty plus people who came by and went on tours and enjoyed the delicious foods prepared by the ladies of the Board of Trustees. All seemed to have a good time and enjoy themselves. With no further business, Don Johnson made a motion to adjourn, Jim Spencer seconded; and, motion carried. Respectfully submitted by: Patricia A.
